Wholesale Parts Orders: Build a Line-by-Line Request — editorial illustration; not application or diagnostic evidence.

A wholesale heavy-equipment parts order needs more than a long list of machine brands. Clear identification, quantities and purchase terms make a quotation easier to review and reduce avoidable ordering mistakes.

Build a line-by-line request

For each item, include the complete part reference, machine and engine information where relevant, quantity and required condition. Keep standard and repair sizes separate, and identify whether an assembly or an individual component is needed.

Keep similar electrical parts distinct

A battery disconnect switch, ignition switch and replacement key are not the same item. Copy the existing markings and compare the switch function and electrical arrangement. A shared key style is not proof of interchangeability.

Compare complete quotations

  • Check the offered part reference and any proposed substitution.
  • Record the quantity, packaging and supplied accessories.
  • Clarify stock, processing and destination-specific delivery estimates.
  • Read the current return and warranty terms for the actual items.

A machine brand in a compatibility description does not establish a manufacturer partnership or prove genuine origin. Ask the supplier to identify the product accurately rather than relying on broad “OEM quality” language.

Send KuduParts the itemized enquiry and retain the confirmed specification with the purchase order. Resolve uncertain substitutions before payment or installation.

Keep each line attached to the machine it serves

For a mixed-fleet request, repeat the asset identifier on each line rather than putting all machine names in one heading. Two machines with similar descriptions can need different configurations. Keep the original reference beside any proposed substitute and record whether that substitute has actually been accepted.

Example fields for a bulk request—not an actual customer order
Line Identity Order control
A Asset ID, component reference, quantity and supplied condition. Required accessories, unresolved specification and acceptable substitution status.
B Another asset or component, with its own supporting record. Confirmed availability, proposed dispatch and whether partial delivery is acceptable.

Ask the supplier to quote exclusions and alternative items against the same line identifiers. A bulk price without those links can conceal a missing fitting or an unaccepted replacement. Keep the requested quantity separate from any minimum-pack quantity stated in the offer.

Control partial shipments deliberately

Confirm which lines can move independently and which belong to one repair dependency. Record what has been ordered, dispatched, received and assigned to an asset separately. This does not assume that every catalog item is physically in stock or shares one dispatch date.

The complete-cost comparison helps compare the resulting offers. The single-enquiry example is more suitable for one unresolved component; a bulk order needs the additional line and asset controls described here.
